The Administrative division provides a wide variety of administrative support services. Responsibilities for this department include: customer service, data entry, filing and generating reports. Time management skills and a diligent work ethic are required.
Welcomes visitors by greeting them, in person or on the telephone; answering or referring inquiries.
Directs visitors by maintaining employee and department directories; giving instructions.
Maintains security by following procedures; monitoring logbook; issuing visitor badges.
Maintains telecommunication system by following instructions for house phone and console operation.
Maintains safe and clean reception area by complying with procedures, rules, and regulations.
Contributes to team effort by accomplishing related results as needed.
Complete duties such as faxing, copying, mailing, and filing.
Run weekly/monthly reports as directed.
Document uploads to document imaging management software.
Input data in system to maintain up to date records.
Knowledge, Skills, & Ability
Computer literate with proficiency and working knowledge of Microsoft Office Applications (Word, Excel, and Outlook).
Strong customer service, communication and interpersonal skills required.
Excellent organization skills.
Ability to work independently and as a member of a team.
Ability to meet stringent deadlines.
Ability to work with sensitive information and maintain confidentiality.
1-2 years administrative experience in a corporate setting.
Physical demands include ability to lift up to 35lbs; standing, sitting, walking and occasional climbing. The employee is required to work at a personal computer for extended periods of time as well as talking on the phone for extended periods of time. Ability to respond to emergencies in a timely manner.
